The brief

The Council is seeking to procure a Solution that provides audio visual functionality for use at Derby Coroners Court which is compatible with the existing equipment, and an audio visual solution with video conferencing capability for use at Chesterfield Coroners Court.

The project scope includes: • Supply and delivery of equipment with supporting software; • Supply and installation of all extra low voltage cabling associated with the Audio solution • Installation and configuration of the Audio Video Solution and infrastructure; • Removal and relocation of existing equipment • Training and Skills transfer as required to allow the Council to use, administer, develop and support the Solution; • An effective Support and Maintenance service; and • Software Licensing.

A Supplier Day will be held on the 25th July 2019 at Derby and Chesterfield.

Timeslots are not exclusive, so other Tenderers may also be present up to a maximum group size of 3.

The available timeslots available will be as follows: Derby 10:00am - 12:00 noon.

Chesterfield (existing site) 1:00pm - 2:30pm Chesterfield (proposed site) 2:45pm - 4:30pm Timeslots will be provided on a first come first served basis and appointment slots must be requested via the messaging feature of the Council's e-tendering system by no later than 5:00pm on Tuesday 23rd July 2019 through the Council's e-tendering system.

Once numbers and availability have been confirmed you will be informed of the date and time of your appointment, subject to availability.

The Contract term will be 3 years with an option to extend annually for an additional 2 years.

This requirement has not been separated into lots as the Council has a single requirement for generation of efficiencies and the primary Contractor having full responsibility for delivery of the Solution.
