The brief

RBG Kew required an Electronic Document and Records Management System.

The proposed solution must incorporate MS SharePoint online within MS Office 365 as the primary document and records repository.

The proposed solution may include one or more on-premise products with one or more cloud-based SaaS solutions working together seamlessly to provide the end user with a single solution.

It will be expected to support between 500 and 1000 users across Kew and Wakehurst Place, and to include both online and offline remote working (including global).

It will be accessible over a range of browsers and be compatible with MAC computers and media.

Interfaces / integrations with other Kew systems will be required.

Email archiving is in scope and the seamless integration of email management with the records repository is a key deliverable.

Included in the scope of the procurement are professional services for the design, configuration, build and implementation of the proposed solution, including corresponding migration, training and business change initiatives.
