The brief

Yorkshire Ambulance Service NHS Trust is seeking to commission an experienced supplier for the supply of vehicle spare parts, materials, consumables and associated equipment.

This requirement is for a mixed fleet of vehicles and plant, supporting a wide range of pre-hospital treatment and patient transportation requirements.

This procurement is being carried out in accordance with the Competitive Procedure with Negotiation for above OJEU threshold contracts, as set out in the Public Contracts Regulations 2015.

Interested parties should note however, that the Trust reserves the right not to negotiate.

The Trust estimates that there is approximately £350,000 of vehicle spares spread across its Fleet Workshops; this is considered to be ‘consignment’ or ‘impress’ stock.

At present this is physically audited by the current Contractor on a bi-annual basis, however, the Trust is interested in alternatives to this element.

The majority of the Trust’s fleet is currently managed and maintained in-house, with parts provision managed and supplied by the incumbent supplier.

Parts provision covers the entirety of the Trust’s fleet, along with parts for non-fleet vehicles.

To support front-line operations, the Trust requires a supplier to work in partnership to refine and develop its Parts Programme to ensure it meets the demands of a busy and critical emergency service.

Routine Parts YAS deems a Routine Part to be any part or component that is required on a regular basis, to keep a fleet road worthy or legal.

The following list demonstrates examples of such components; however this is not intended as an exhaustive list, but as a guide to the types of item considered for routine repairs and currently held in stock.

Details of the vehicles make/model will be provided as part of the Tender.

Service parts/fast moving items: (including but not limited to): • Brake Pads/Shoes • Brake Discs • Clutches • Exhaust Components • Bulbs • Wiper Blades • Glow Plugs • Cam Belts and associated kits • Auxiliary drive belts • Standard Relays and Connectors • Workshop Consumables. • Antifreeze/Brake Fluid/ Non Bulk lubricants etc • Autobox Filters/sump gaskets • Water Pumps • Common suspension bushes and antiroll bar drop links • Steering and CV gaiters/boots • Batteries • Starter motors and Alternators • Exchange reconditioned gearboxes/axles • Common electrical components and circuit boards • External mirrors • Common ambulance body catches etc. • Common Ambulance Trim Parts. • Exchange Frontline Ambulance Engines (including all ancillary items)
