Preliminary Market Engagement (PME) for Desk Booking Tool and Desk Occupancy Sensors Solution

The UK Home Office is seeking face-to-face market engagement with suppliers that can provide Desk Booking Tools that are web-based, fully WCAG standards compliant, user-friendly and provide live data outputs; and Desk Occupancy Sensor Systems that offer a web-based, user-friendly reporting solution to measure and report on desk and room utilisation.
The solution should be able to support workplace optimisation across Home Office locations in the UK.
The Desk Booking Tool should be flexible, scalable and allow minor updates and changes to be undertaken by the Home Office or provide rapid support function to enact such changes on our behalf.
It should be possible to combine data produced by the booking tool with data produced by the occupancy utilisation sensors to enable us to analyse historical (and where possible real-time) data via a set of user customisable reports and dashboards.
The supplier should be capable of providing a scalable Desk sensors solution that functions on secure physical sensors fitted to assets that records heat/motion only, reporting data to the cloud via 4G/5G.
The occupancy data should be able to combine with desk/room booking data via an online tool to enable us to analyse historical (and where possible real-time) data via a set of user customisable reports and dashboards.
This pre- market engagement will help inform the Home Office explore innovative solutions that enhance workspace utilisation, improve employee experience and support hybrid working strategy.
Supplier solutions should align to Government security standards and accessibility requirements.
The events will be held between 23/06/2025 and 27/06/2025 in one of our offices.

The deadline for registering interest is 10th June 2025.
Interested suppliers’ specific presentation day and time allocation will be made available from week commencing 19th June 2025 on a first come first serve basis.
