The Provision of Zone Ex Medical Cover for the BBC Radio 1 Big Weekend Herrington Park Sunderland

Sunderland City Council are seeking to appoint a Supplier for the provision of Event Medical Cover for the Zone Ex footprint and transport hubs for the BBC Radio 1 Big Weekend event to be held at Herrington Country Park, Sunderland between Friday 22nd May 2026 and Sunday 24th May 2026.

This event has capacity for up to 40,000 people per day. (The event venue boundary is specifically excluded and is provided by a separate contractor as directed by the event organiser).

The Supplier will work with the Council and other statutory agencies to minimise the impact on the local NHS ambulance service, primary care and hospital provision and to recommend and create an appropriate Zone Ex Event Medical Cover Resource and Infrastructure plan for the event.

The Supplier will be required to attend all meetings and site visits necessary to discuss and approve the plan.

The appointed Supplier will be expected to work with the Council in a contract consisting of 3 stages.

Stage 1 In collaboration with the Council's events team and appropriate guidance the Supplier will be expected to provide an initial Event Medical Cover Resource and Infrastructure plan for the event Zone Ex for presentation to, and evaluation by the Strategic Advice Group (SAG).

Stage 2 The Supplier is required to consider and include any comments, recommendations and mandated requirements from the SAG, the Councils Events Team and other event partners into their plan and present a final version of the Event Medical Cover Resource and Infrastructure plan for approval.

Stage 3 The Supplier is expected to provide the resource and infrastructure according to the approved Event Medical Cover Resource and Infrastructure plan and deliver the Event Medical Cover in accordance with all agreed instructions, any statutory requirements and in manner that is safe and fully inclusive.
