Coleg y Cymoedd are seeking suppliers that can provide a fully integrated software solution for human resources (HR) and payroll or a HR system that can integrate with another payroll system.
The current HR and payroll systems have been in place for a number of years and in their current form constrains the transformation of services.
The Governors and the Senior Leadership Team are looking for state of the art technology so that the new system will not only bring us to the now but will continue to push us ahead in terms of business intelligence.
The new system must: • be easy to use, • be able to work on any device 24/7. (The system must be accessible from Android and IOS devices whilst mobile), • support 1000+ employees records and history. (Current workforce 750 employees), • have the capacity and potential to grow in scope, • have internal integration with key agents such as HMRC, and • have the ability to externally integrate information to other key data sets.
Our headline basic requirements can be identified as follows: 1. fully integrated HR/Payroll system (or the ability to interface with the existing systems - ie TEAMSPIRIT payroll system and Agresso finance system), 2. data storage of employee key details ie pay, contract information, service records 3. unlimited document storage that can be categorised to ensure compliance with GDPR 4. employee self-service, 5. a visually appealing dashboard providing complex data and analytics to support both operational and strategic requirements.
6. web based recruitment and on-boarding 7. learning and development platform 8. performance development reviews 9. expenses claiming and approval 10. payroll solution that will encompass the full range of statutory legislative requirements and also complex terms and conditions such as pay and pension calculations / deduction, finance coding / budgets and the ability to deal with dual posts.
It is anticipated that implementation will begin in March 2020 with 'go live' by June 2020.
The college is looking to procure a solution for a 3 year period with the option to extend further.
